Your task list as a job post
Real estate virtual assistant Our real estate team is hiring a remote assistant for about 16 hours a week. What you will do: - Prepare listing data and upload photos for agent approval - Track transaction deadlines and collect file documents - Keep CRM contacts, tasks and notes up to date - Draft and schedule social posts and email newsletters for approval - Sort email and manage the calendar What you need: - Clear written and spoken English - Experience with a CRM or property software, or proof you learn tools quickly - Reliable internet and a quiet place to work Limits: - This role does not show property, negotiate, explain contracts, or give opinions on price. Those questions go to the licensed agent. To apply: send a short note on one similar task you have done, and your hourly rate.
The post asks each applicant for their rate, so add yours if you prefer to set one.
Runs entirely in your browser: no API calls, nothing stored or sent. Task hours and the VA rate are editable assumptions. The wage is the BLS median for administrative assistants, May 2025. Benefits are the BLS private industry share, June 2026. Plan prices read from each vendor's page in November 2026. A month here is 4.33 weeks.
Key takeaways
- At 16 hours a week, the example costs about $693 a month with a $10 freelance VA, $699 on Wing Assistant's part-time plan, and $2,264 for an in-house hire with benefits.
- The BLS median for administrative assistants is $47,540 a year, about $22.86 an hour. Benefits are 30 percent of private industry pay, which brings it to about $32.66 an hour.
- Licensing limits what a VA can do. Texas says an unlicensed assistant cannot show property or call to find out whether someone wants to buy, sell or lease.
- A VA works a shift. Calls at night and on weekends still need another answer.

What does a real estate virtual assistant do?
A real estate virtual assistant handles the office work around a deal: listing data, transaction deadlines, CRM entry, scheduling, email, social posts and marketing drafts. The licensed agent stays responsible for advice, negotiation, showings and anything that requires a license. The job works best when it is written down as tasks.
Tuesday night, you are typing a listing into the MLS, chasing a missing HOA document, and scheduling Thursday's showing. All three need doing. None of them needs you. That is the list a VA takes first.
- Listings. Prepare data, upload photos and draft descriptions for your approval.
- Transactions. Track deadlines, collect documents and update the file.
- Database. Keep the CRM clean, so your real estate CRM holds the next task for every lead.
- Marketing. Schedule posts and newsletters you have reviewed.
- Inbox and calendar. Sort email and book appointments.
What can an unlicensed real estate assistant legally do?
An unlicensed assistant can generally do administrative work but no activity that requires a license, and the line differs by state. A remote worker does not change that. Check your own commission's rule and your broker's policy before you assign anything that touches the public. Here are two states, checked in November 2026.
| State | Examples allowed | Examples limited |
|---|---|---|
| Texas (TREC) | Administrative work, supervised data entry, setting showing appointments for a license holder, confirming advertised details | Showing property or unlocking doors, hosting open houses, reviewing contracts, calling to find out whether someone wants to buy, sell or lease |
| New York (DOS) | Taking messages, setting appointments, compiling closing paperwork, drafting ads and flyers for broker approval, booking showings for licensees | Activities listed in Section 440 of the Real Property Law. Paid per completed transaction only if licensed |
Texas puts it plainly: an unlicensed assistant "cannot make calls to determine whether a person is interested in buying, selling, or leasing property." Cold calling is the task most often sold as VA work, so settle this one first. The calculator flags it if you tick it. Investors have their own setup, covered in the wholesaling virtual assistant guide. Ask your broker or a local attorney what applies to you.
What does a property management virtual assistant do?
A property management virtual assistant logs maintenance requests, schedules approved vendors, answers routine tenant messages, sends rent reminders, posts vacancies and prepares owner statements. Switch the calculator to property manager to price this list. The limits are similar: approvals, legal questions and licensed work stay with you.
Rent records are the job to supervise closely, since one wrong entry can follow a tenant into a dispute. Give your VA a rent ledger format to follow, and keep bank access separate from bookkeeping access. Collecting rent for someone else for pay can be licensed activity, so check who touches money in your state.
How much does a real estate virtual assistant cost?
A real estate virtual assistant starts at 390 dollars a month for 10 hours on the published plans we read in November 2026, and full-time plans start at 999 to 1,988 dollars. Freelance rates are negotiated. Compare cost per hour you actually get back. A cheap plan you only half use can cost more per hour than a pricier plan you fill.
The formula, in plain words
- Monthly hours: hours a week times 52, divided by 12.
- Freelance: monthly hours times the rate. The 10 dollar default is an assumption to replace with your real quote.
- In-house: monthly hours times the wage, divided by 1 minus the benefit share. That uses the BLS median of 47,540 dollars for administrative assistants, May 2025, divided by 2,080 hours, and the 30 percent private industry benefit share, June 2026.
- Agency: the flat fee, with hours capped at what the plan includes.
- Hours freed: hours worked, minus the time you spend managing them. The default of 10 percent is an assumption. Expect more in the first month.
In the default example, 16 hours a week is 69.3 hours a month. A 10 dollar VA costs about 693 dollars, and 10 percent management leaves 62.4 hours freed, or 11.11 dollars each. The break-even is that simple: if an hour of your time produces less than that, keep the work.
How to hire a real estate VA
Hire a real estate VA by writing the tasks first, giving one paid test task, and starting with a small part of the list. Decide whether you want to manage someone directly or pay an agency to handle replacement. Agency plans cost more per hour than some freelancers but take the recruiting off your plate.
- Use the job post above. It lists your tasks and sets the limits on licensed work.
- Test on real work. Give one transaction checklist or one listing draft.
- Limit access. Use separate logins, never share your own banking or MLS password.
- Write the process once. A short screen recording saves the same explanation next month.
- Review weekly. Check finished tasks and error counts, and change the list as it settles.
The one task a VA schedule does not cover
A VA schedule does not cover calls outside the shift. Saturday at 7pm, a buyer calls your sign. Your VA finished at five on Friday. Another full-time person would cost another shift, and an agency plan with 80 hours a month covers about 18 hours a week.
That gap is what callflo.ai handles. It is an AI receptionist: it answers your line 24/7, answers from the details you give it, takes the caller's information and can text you a summary. Starter is 39 dollars a month on annual billing, or 49 month to month, with 120 minutes and extra minutes at 0.98 dollars. On VIP it also books on your calendar and takes payments on the call.
Sample call: Saturday evening, sign call
It does not do what a VA does. It will not fix your transaction file, clean your CRM or write your newsletter. If phones are not your problem, or a person already covers them, skip it and hire for the paperwork. If you are also comparing live receptionists, see what an outsourced receptionist costs. For the phone side, here is how callflo.ai works for real estate agents and the plans.
Cover the calls your VA's shift misses
Call callflo.ai's own AI agent and ask it anything about your business. When you are ready, pick a plan: no setup fee, no contract, and you do not pay unless you are satisfied.
Starter is $39 a month on annual billing. Live on your line about 5 minutes after you sign up.
