What is CRM in real estate? CRM stands for customer relationship management. It is software that keeps every lead, client and past client in one record, with their history and the next follow-up task. The right type depends on your deals, team, lead sources and phone needs. Answer five questions below to find yours.

Enter your numbers. The tool picks a type of CRM, writes a must-have checklist to use on a free trial, and dates a follow-up workflow from the day a lead comes in. Copy the workflow, or download it as a CSV.
Find the type of CRM that fits
Where your leads come from
What it is: Portal and ad leads land automatically, the task appears at once, and calls and texts are logged on the lead.
Why this one: Paid leads lose value by the hour, so the source integrations and the first-touch task matter more than any other feature.
Follow Up Boss Grow comes to $58 a month on annual billing for your team, which fits your budget of $100.
Examples of this type
Follow Up Boss Grow: $69 a user a month or $58 on annual billing. Calling is an add-on at $39 or $33 a user. For your team: $58 a month on annual billing.
[ ] A task on every open contact: A contact with no next step is how leads get forgotten. [ ] Full CSV export of contacts and notes: You will change CRMs at some point. Test the export during the trial. [ ] A phone app that logs a note in seconds: If it takes a laptop, the note does not get written. [ ] Automatic lead capture with the source saved: Retyping a portal lead costs the speed you paid for. [ ] An instant first-touch task and alert: The first call is the one the whole setup exists for. [ ] Conversion reports by lead source: Lets you judge each source on closings. [ ] Two-way texting from a business number: Replies land on the lead's record. [ ] Carrier registration for business texting (A2P 10DLC): Unregistered business texts can be blocked. Ask who handles it and what it costs. [ ] Opt-out handling that stops automation: A STOP reply has to end every later text. [ ] A referred-by field: Tells you who to thank and who sends business. [ ] A listed integration for each portal you buy from: Check the vendor's integration page for your exact source. [ ] A sign-in or QR form that creates contacts: Otherwise the open house list stays on paper.
Your dated follow-up workflow
| Date | Stage | Type | Action |
|---|---|---|---|
| Tue, Nov 3, 2026 Day 0 | New | CRM task | Call within minutes. Save the lead source and the reason they reached out. |
| Tue, Nov 3, 2026 Day 0 | New | CRM task | If no answer, send one short text if they gave consent, then set the next task. |
| Wed, Nov 4, 2026 Day 1 | Attempting | CRM task | Second call at a different time of day. |
| Fri, Nov 6, 2026 Day 3 | Attempting | CRM automation | Send listings or a value range, with one line on your reasoning. |
| Tue, Nov 10, 2026 Day 7 | Attempting | CRM task | Third call. Ask for the timeline, and move to Nurture if it is past 90 days. |
| Tue, Nov 17, 2026 Day 14 | Nurture | CRM automation | Add to the monthly market email and tag the area they asked about. |
| Thu, Dec 3, 2026 Day 30 | Nurture | CRM task | Personal check-in that mentions something from your notes. |
| Mon, Feb 1, 2027 Day 90 | Review | CRM task | Keep, recycle or close the record. A lead with no next task should not exist. |
Runs entirely in your browser: no API calls, nothing stored or sent. The result is a type of CRM with examples, not a verdict on any brand. Prices read from each vendor's page in November 2026.
Key takeaways
- A real estate CRM stores contacts, conversations, deal stages and next tasks in one record, so follow-up does not depend on your memory.
- Entry prices read in November 2026 start at $0 for HubSpot Free, $42 a month for a relationship CRM, and $147 a month for an investor CRM, all on annual billing.
- Lead source decides the type more than company size. Portal leads need speed. Referrals need a schedule. Owner lists need one record per property.
- A CRM records calls and reminds you to make them. It does not answer the phone while you are in a showing.
| Type | Built around | Fits | Example and price |

What does a CRM do for a real estate agent?
A CRM does four jobs for a real estate agent: it holds each person's record, shows where they stand, creates the next task, and sends the routine messages you approved. The value is simple. Nobody is left waiting because a note was on a sticky pad in the other car.
You met a couple at an open house in June. They said spring. By March you have no idea who they were, unless a record says they want a three-bedroom near the school and that a task is due this week.
- Contacts. Phone, email, source, property interest and how they know you.
- History. Calls, texts, emails and notes on one timeline.
- Pipeline. Stages such as new, attempting, active, under contract and closed.
- Tasks and automation. The next call for you, and the routine email for the software.
- Reports. Which source produced closings, and which leads got no second touch.
For wider AI features, see the AI tools for real estate agents by job. That guide covers tools by task. This page covers the record they all have to land in.
What is a real estate CRM workflow?
A real estate CRM workflow is the fixed sequence of stages and tasks a lead moves through from first contact to closed or removed. Each step names a date, a stage and whether a person or the software acts. A good one has one rule: every open contact has a next task.
The tool above writes the sequence and dates it. To set it up, create the stages first, then one task template per step, then only one or two automated messages. Add the rest after you have watched a month of real replies. For what to say at each touch, use the real estate lead follow-up plan and scripts.
CRM integration with a phone system: what to check
CRM integration with a phone system means calls and texts appear on the contact record without anyone typing them. It comes in two forms: calling built into the CRM, or an outside phone service connected to it. Ask which number the lead sees and what happens when nobody answers.
Built-in calling varies. Follow Up Boss sells calling as an add-on on Grow at 39 dollars a user, or 33 on annual billing, and includes it on Pro. HubSpot's Starter CRM lists 500 minutes and one number. Wise Agent charges 11 dollars a month for its text add-on plus an 80 dollar one-time registration. For outside services, Follow Up Boss's integrations page lists options such as KrispCall and JustCall.
Five questions settle most of it on a trial:
- Does a call from my cell log itself, or only a call placed in the app?
- Can I keep my current number, and does the lead see it?
- Do inbound calls and replies land on the right contact?
- Who handles business text registration, and what does it cost?
- What is recorded, and can I turn recording off?
Is there a CRM with MLS integration?
Most CRMs with MLS integration connect through an IDX website or a home search provider, not by reading your MLS directly. Listing data reaches a site under your MLS's rules, and the CRM receives the lead and what they viewed. Access depends on your MLS, so confirm it before you pay for anything.
RESO, the group behind the data standard, says it does not provide MLS data, and that data requests go to the MLS. Follow Up Boss's page lists IDX Broker, iHomefinder and Displet among its website partners. Wise Agent's pricing page does not mention MLS at all, which does not settle whether it can connect. Ask the vendor one direct question: is my MLS supported, what does my board have to approve, and who pays for the feed?
Real estate investor CRM: how it differs
A real estate investor CRM is organized around properties and their owners, and an agent CRM is organized around people who contacted you. Investors also need list stacking, skip tracing, direct mail and a dialer. Those are the usual reasons an agent CRM feels wrong for wholesaling by the second week.
| Plan | Price | Users | Calling and texting |
|---|---|---|---|
| FreedomSoft Start | $197 monthly, or $147 billed annually | Up to 6 | Built in. Voice $0.03 a minute, texts $0.04 each |
| FreedomSoft Grow | $297 monthly, or $247 billed annually | Up to 8 | As above, and adds Zapier |
| REsimpli Solo | $249 billed annually | 1 | Unlimited under a fair use policy, AI calling extra |
What is the best CRM for wholesalers?
There is no single best CRM for wholesalers, and we did not test them side by side. Compare them on three things: the cost at your real call volume, the number of people dialing, and whether the export includes property records. A solo wholesaler making many calls may prefer a plan that includes usage. A small team may prefer more seats.
If someone else is making the calls, read how a wholesaling virtual assistant is set up before you pick seats. The calling rules still apply to you.
When a spreadsheet or no new CRM is enough
A spreadsheet is enough when you close a few deals a year from people you already know and you actually open it weekly. Your brokerage may also provide a CRM at no extra cost, so ask before you buy one. A CRM you do not update is a more expensive place to lose a lead.
Moving later is manageable if you keep your data portable. Test the CSV export on day one of any trial, including notes. If notes do not leave with the contacts, price that into your decision now.
What a CRM cannot do: answer the phone
A CRM cannot answer a call you missed. It can only remind you afterward. A sign call at 2pm during a closing still reaches voicemail, and the workflow starts with a task to call back someone who may have called the next agent by then.
callflo.ai is an AI receptionist for that gap, and it is not a CRM. It answers your line 24/7, answers from the details you give it, takes the lead's information and can text you a summary. It keeps calls, transcripts, leads and contacts in its own dashboard, and it can import contacts from a CSV. It does not run your drip email or your pipeline.
Here is the integration answer, checked in the code. Starter has no CRM integration. At 39 dollars a month on annual billing, or 49 month to month, with 120 minutes and extra minutes at 0.98 dollars, the lead stays in callflo.ai and reaches you by text. There is no built-in Follow Up Boss, HubSpot, Salesforce or Zapier connector on any plan. On VIP, 697 dollars a month on annual billing or 997 month to month with 1,000 minutes, our team builds a custom integration for your CRM and it also books on your calendar. One built so far looks up live records in SISU, a real estate CRM, so scope exactly what you need written back before you buy.
If you answer every call yourself, or your team has phone coverage, you do not need it. Otherwise, see how callflo.ai works for real estate agents.
Hear what answers before the CRM task appears
Call callflo.ai's own AI agent and ask it anything about your business. When you are ready, pick a plan: no setup fee, no contract, and you do not pay unless you are satisfied.
Starter is $39 a month on annual billing. Live on your line about 5 minutes after you sign up.
