A good follow up sales email is under 125 words, names one thing the person told you and asks for one specific next step. Send a recap the same day after a conversation, or wait about three days after silence. Build yours below, then get a dated plan for the follow-ups after it.

Your email

Hi Priya, I hope you have had a chance to look over the office cleaning quote. You said the kitchen was the part your last service kept missing, and that is the part I would like to get right. Would 10 minutes on Thursday morning work for you? Thanks, Dana Reyes Brightline Cleaning (512) 555-0142

How to write a follow up sales email

To write a follow up sales email, tell them why you are writing, mention one real detail from your last contact and ask for one thing. Everything else can wait for the reply. A reader on a phone gives you a few seconds, so a follow up should look like a note from a person and not a brochure. Our limit is 125 words, which is a house rule and not a study result.

  1. 1

Write a subject that says what it is

The FTC says a subject line must accurately reflect the content. Our view: a fake "Re:" on a first message may get an open, and it will also get you a person who no longer trusts you.
  2. 2

Open with context, not an apology

Skip "sorry to bother you". If you think you are bothering them, the reader will agree.
  3. 3

Use one thing they told you

"You said the kitchen was what your last service kept missing" proves this email was written for them. It is the one line a mail merge cannot fake.
  4. 4

Ask for one small, dated step

"10 minutes on Thursday morning" can be answered with one word. "Let me know your thoughts" needs a whole email.
  5. 5

    Let them say no

A clear no frees you to chase someone else. Give people an easy way to say it.

Follow up sales email examples

Here are three the builder wrote with sample details. Change the fields above and yours will update. They are short on purpose: the shorter the email, the less there is to get wrong, and the easier it is to answer from a phone between jobs.

A polite follow up email when you have no reply

A polite follow up email states what you sent, allows that they may be busy and asks one question. Politeness comes from respecting their time, so it does not need a paragraph of apology.

Subject: Still looking at the office cleaning quote?

Dear Priya, I am writing to follow up on my earlier message about the office cleaning quote. I understand you may have other priorities. Would 10 minutes on Thursday morning be convenient? If the timing is not right, please let me know and I will follow up later. Kind regards, Dana Reyes Brightline Cleaning (512) 555-0142

After a call

Subject: Next steps on the roof repair

Renee, Following our call on the roof repair, here is where we landed. You mentioned the leak is over the back office, so that is what I am focused on. Next step: a site visit on Friday at 9. Does that work? Thanks, Mark Levin Tri-County Roofing (210) 555-0181

The last try

The last try tells them you will stop, and then you do. We have no data on whether it earns more replies than other notes. It does end the chase cleanly, and it makes a one-word answer easy.

Subject: Should I close the file on the office cleaning quote?

Hi Priya, I have tried you a few times about the office cleaning quote, and I do not want to crowd your inbox. When we spoke, the issue was the kitchen was the part your last service kept missing. If that has been solved, that is good news. If it is still on your list, I am happy to do 10 minutes on Thursday morning. If not, just say so and I will close it out. No hard feelings. Thanks, Dana Reyes Brightline Cleaning (512) 555-0142

How long to wait, and how many follow ups to send

Wait about three days after an unanswered email, then widen the gaps. Three to five touches is a reasonable limit for most small sales. Backlinko found that sending three or more messages gave the best response rate, though that study covered link-building outreach and not sales replies.

PaceTouch 1Touch 2Touch 3Touch 4Touch 5
TightStartDay 2Day 7Day 11Day 16
StandardStartDay 3Day 7Day 14Day 21
PatientStartDay 7Day 14Day 23Day 32
The builder's cadence for a no-reply plan starting Monday, November 9, 2026. Weekends roll to Monday, so days can shift. The gaps are our assumption.

No study we found settles the right gap for your sale, so match it to the buyer. Someone with a leak needs a tight plan. Someone comparing roofing bids over a quarter does not. Each touch should also add something new, because a fourth "just checking in" only tells them you have a calendar reminder.

You may hear about the 2-2-2 rule. One sales coach puts it as 2 days, 2 weeks and 2 months, as a calling schedule after a purchase. We found no study behind it, and it was not built for a live quote. It does suit keeping in touch with past customers.

Some plans include a phone call, which often does more than another email. For what to say, the cold call examples and script grader includes a follow up sales call script for a quote that has gone quiet.

Lead follow up: the first message is different

Lead follow up starts when someone asks you for something, so speed matters more than wording. A reply within minutes that answers their question beats a polished one tomorrow. Save this email for the second contact. For the first, real estate readers can start with how to respond to a real estate lead, and the longer plan is in real estate lead nurturing.

CAN-SPAM basics for sales follow ups

CAN-SPAM covers commercial email, including email to businesses. A marketing follow up needs truthful headers, an honest subject, a disclosure that it is an advertisement, a valid postal address and a working opt-out. We read the FTC's compliance guide in November 2026. This is general information, so check your setup with an attorney if you send at volume.

  • Opt-out: give a return email address or another easy internet-based way. It has to keep working for at least 30 days after you send, and you must honor requests within 10 business days.
  • Address: a street address, a post office box registered with the US Postal Service, or a registered private mailbox.
  • Other people: hiring someone to send for you does not hand off your legal responsibility.
  • Penalty: up to 53,088 dollars for each separate email in violation.

Inbox providers add their own rules. Google asks all senders to set up SPF or DKIM on their domain, and to keep spam rates under 0.30 percent. Above 5,000 messages a day to Gmail, it asks for SPF, DKIM, DMARC and one-click unsubscribe on marketing mail.

When the follow up works, your phone rings

You send the email at 8am, then spend the day on a job. At 11:40 they read it and call the number in your signature. You are on a ladder. They reach your voicemail, and now you are the one following up again. That is the gap that callflo.ai is built for: it answers your line, takes the details and sends you a summary and transcript, then texts the caller. If your leads are in property, see how it works for real estate agents.

It does not write or send your sales emails, and it will not run this cadence. Starter is 39 dollars a month on annual billing or 49 dollars monthly, with 120 minutes and 98 cents for each extra minute. On VIP it also books appointments to your calendar. If you can always pick up, or your deals only happen by email, skip it.

FAQ

Say what you sent, allow that they may have other priorities, and ask one clear question. Keep it under about 125 words and skip the apology. Give them an easy way to say the timing is wrong.

Send a recap the same day after a call or within a day after a meeting. After no reply, about three days is a sensible starting point, then widen the gaps. These are our suggested assumptions, so adjust them to your buyer's timeline.

Three to five touches is a reasonable limit for most small sales. In Backlinko's study of 12 million outreach emails, sending three or more messages gave the best response rate. Stop as soon as someone replies or asks you to stop.

Use a specific one that says what the email is about, such as Your questions on the office cleaning quote. Backlinko found subject lines of 36 to 50 characters did best. The FTC says a subject line must accurately reflect the content of the message.

It is a rule of thumb for staying in touch: follow up after 2 days, 2 weeks and 2 months. We found no study behind it. It suits keeping up with past customers better than chasing a live quote.

It applies to commercial email, with no exception for business-to-business email. A marketing email needs an honest subject, an advertisement disclosure, a valid postal address and an opt-out honored within 10 business days. A message whose primary purpose is transactional is exempt from most provisions, and the FTC reads that category narrowly.
