Appointment setting services book sales meetings for you, and they come in five forms: an in-house setter, a retainer agency, pay per appointment, a virtual assistant, or AI on inbound calls. As of November 2026, published prices run from 8.50 dollars an hour to 750 dollars an appointment. Use the calculator to compare them.

Your numbers
| Model | Monthly | Per booked | Per shown | Return | Break-even deal |
|---|---|---|---|---|---|
| In-house setter | $5,883 | $294 | $420 | 1.78x | $1,681 |
| Retainer agency | $12,946 | $647 | $925 | 0.81x | $3,699 |
| Pay per appointment | $15,125 | $756 | $1,080 | 0.69x | $4,321 |
| Virtual assistant | $3,129 | $156 | $223 | 3.36x | $894 |
| AI on inbound calls * | $697 | $35 | $50 | 15.06x | $199 |
* Not the same job. AI on inbound books people who already call you, so the number is only useful if those calls exist. It finds no one from a list and is left out of the lowest-cost pick. Calling 236 hours a month is 1.5 full-time seats at 160 hours each. Return is revenue divided by cost, before your cost to deliver the work.

Key takeaways
- Cost per shown appointment is the number that matters. On the default inputs, moving from a 70 percent to a 50 percent show rate raises it by 40 percent on every model.
- Belkins' pay per appointment starts at 750 dollars per appointment plus a 1,500 dollar setup fee, read November 2026.
- SalesRoads publishes 11,950 dollars per 4-week period for one SDR on its base program, read November 2026.
- AI on inbound calls does a different job. It books people who already called you, and it finds no one.
| Model | Published price | You pay for | Works best when | Watch out for |
|---|---|---|---|---|
| In-house setter | $16.58/hr median, telemarketers (BLS, May 2023) | Hours, plus benefits and tools | You have steady volume and someone to manage it | Hiring, training and turnover are on you |
| Retainer agency | $11,950 per 4 weeks, one SDR (SalesRoads) | A team's time | You sell high-value deals and need a full program | You pay whether or not meetings land |
| Pay per appointment | From $750 each, plus $1,500 setup (Belkins) | Each qualified meeting | You have a broad market and a simple offer | The definition of qualified decides the real price |
| Virtual assistant | $8.50 to $14.50/hr (VA Masters) | Hours | You can supply the list, script and coaching | Results depend on your management |
| AI on inbound | $697/mo annual, 1,000 minutes (callflo.ai VIP, which includes calendar booking) | Plan and minutes | People already call you and some get missed | Finds no new prospects on its own |
What are appointment setting services?
Appointment setting services are people or software that contact prospects, qualify them and put a meeting on your calendar. You keep the sales conversation, and they handle everything before it. Most agencies on this market sell to B2B companies, so check that a vendor knows your buyer before you compare prices.
You have a closer who is good in the room and spends Monday morning dialing instead. That is the problem these services sell against. Appointment setting is a different skill from closing, and it takes a tolerance for hearing no that most closers would rather spend elsewhere.
The five types of appointment setting, compared
The five types differ in who carries the risk. With an in-house setter or a VA, you pay for hours and carry the risk of a slow month. With a retainer, you share it. With pay per appointment, the vendor carries it and prices it in. AI on inbound removes the labor, but only for calls you already get.
In-house setter: when to hire an appointment setter
Hire an appointment setter when you can give someone a full week of calls and a person to answer to. BLS has no appointment setter category. The closest is telemarketers, with a median of 16.58 dollars an hour in May 2023, the newest hourly median we could read. Many setter jobs add commission, so put yours in the tools field if so.
Benefits are the part people forget. In BLS's June 2026 employer cost data, benefits were 30 percent of private industry compensation. The calculator divides the wage by 0.70 for that reason, which turns 16.58 dollars into about 23.69 dollars an hour.
Retainer agency: outsourced appointment setting
Outsourced appointment setting on retainer buys a managed team. SalesRoads is unusual in publishing a rate: 11,950 dollars per 4-week period for one SDR, falling to 7,340 dollars per SDR at five. Thirteen periods a year works out to about 12,946 dollars a month. Its page says there is no long-term commitment. That price is built for B2B deal sizes, and it shows in the math.
Pay per appointment: read the definition first
Pay per appointment means you pay only for meetings that meet agreed criteria. Belkins lists a start of 750 dollars each, a non-refundable 1,500 dollar setup fee and a 10 appointment minimum package. It runs on email and LinkedIn outreach, not phone, and says it suits a large market with an offer that is easy to explain.
Agree in writing on what counts: who the person is, whether a no-show is billed, and how fast you can dispute a bad one. A cheap appointment with someone who cannot buy is still expensive.
Virtual appointment setter
A virtual appointment setter is a remote contractor who dials your list on your script. VA Masters publishes 8.50 to 14.50 dollars an hour, with the 10 to 12 dollar tier adding outbound calling. Stealth Agents shows both 10 and 15 dollars an hour as a starting rate on one page, so ask which applies. Upcall prices differently, at 3.50 to 7.50 dollars per lead on a 1,000 lead minimum, and a lead there means a prospect account, not a booked meeting.
AI on inbound: booking the calls you already get
AI on inbound answers people who call you and books them during the call. There is no list and no dialing, so it costs far less, and it adds nothing if your phone does not ring. Human answering services do this too: Smith.ai lists 300 dollars a month for 30 calls, with booking at 1.50 dollars per call. The details of that setup are in answering service appointment scheduling, and real estate showings are covered in AI real estate appointments.
Outsource inside sales: what you are buying
To outsource inside sales means paying an outside firm to do the phone and email work a sales team would do from a desk. Appointment setting is the narrow version, where the vendor stops at a booked meeting and your people close. A full contract can add follow-up, demos and sometimes the close. Ask who owns the pipeline data and call recordings when it ends.
Outbound appointment setting and cold calling appointment setting
Outbound appointment setting means you contact people who have not contacted you and ask for a meeting. Cold calling appointment setting is the phone version, and email and LinkedIn are the others. It works best with a tight list and an offer you can say in one sentence. The call has one goal, the meeting, so save the pitch for it. A consumer list brings in the rules below, whoever does the dialing.
Appointment setting call center
An appointment setting call center is a staffed floor that books meetings for several clients, on inbound calls, outbound calls or both. You get coverage and managers without hiring anyone. You also get agents who may split their attention across accounts. Before you sign, ask how many other clients share your agents, listen to real recordings, and confirm how bookings reach your calendar and who keeps the do-not-call scrub current.
What appointment setting costs on real numbers
On the calculator's default inputs, 20 appointments a month costs about 156 dollars each through a VA, 294 dollars in-house, 647 dollars on retainer and 756 dollars pay per appointment. These figures use a real estate dial rate for the hourly models, so treat them as a way to test a quote, not a forecast.
| Model | Monthly | Per booked | Per shown | Break-even deal |
|---|---|---|---|---|
| Virtual assistant | $3,129 | $156 | $223 | $894 |
| In-house setter | $5,883 | $294 | $420 | $1,681 |
| Retainer agency | $12,946 | $647 | $925 | $3,699 |
| Pay per appointment | $15,125 | $756 | $1,080 | $4,321 |
Here is how the hourly lines work, in plain words. Calling hours equal appointments times dials per appointment, divided by dials per hour. Cost equals those hours times the hourly rate, plus tools. Cost per shown equals monthly cost divided by appointments that actually show. Break-even deal value equals monthly cost divided by deals closed.
The dial rates come from Baylor's Keller Center test of 6,264 real estate cold calls: 330 calls per appointment, and 209 calls in about 7.5 hours, or roughly 28 an hour. That test dates from 2012 and involves agents calling homeowners, so a warm list or a B2B market will differ. The retainer and pay per appointment rows do not use it, and assume the vendor hits your target. We found no traceable show rate benchmark for sales meetings, so 70 percent is a placeholder. Enter your own.
How to choose and hire an appointment setter
Choose by deal value first, then by who will manage the work. If one closed deal does not pay for a month at a given model, rule that model out. Then ask each vendor these questions in writing, because the sales page rarely answers them.
- What counts as a qualified appointment? Get the role, company type and intent criteria in writing.
- Are no-shows billed or replaced? The calculator's second table shows what this is worth to you.
- Which channels do you use? Phone, email and LinkedIn carry different rules and different results.
- Who owns the list and the call recordings? If you leave, you should keep what you paid for.
- What is the term, and what does it cost to leave? Setup fees and minimums belong in the math.
- Who scrubs against Do Not Call? Get the answer before the first dial, and see the rules below.
Appointment setting script: a phone script for scheduling appointments
A good appointment setting script confirms the need, offers two specific times, reads the details back and asks permission to text a confirmation. Offering two times gets a faster answer than asking when they are free. Build yours in the calculator above, and copy it for whoever picks up the phone.
Sample call: scheduling a visit
For cold outbound calls, the job starts earlier, with an opener and objection handling. Agents can build those with the real estate cold calling scripts tool, which also has the voicemail.
Rules that apply to outbound appointment setting
Outbound setting to consumers falls under federal telemarketing rules, whoever dials. Calls run 8am to 9pm at the called party's location, registered numbers are off limits without an exemption, and an AI voice on a marketing call needs prior express written consent. We checked these in November 2026.
The FTC says most calls soliciting sales from a business are exempt from its do-not-call provisions, though that does not settle every rule. States add their own, so ask a local attorney to review any campaign before it starts. Hiring a vendor does not necessarily move the responsibility off you.
Where callflo.ai fits, and where it does not
callflo.ai answers inbound calls, and on its VIP plan it books on the call. It is not an outbound SDR replacement on Starter, and if you need meetings with people who have never heard of you, one of the other four models is the right purchase. If your ads, signs or referrals already make the phone ring, then a missed call is an appointment you already paid for.
It answers 24/7, asks your questions and texts the caller afterward on every plan. Starter is 39 dollars a month on annual billing, or 49 dollars monthly, with 120 minutes and extra minutes at 98 cents. Calendar booking is on VIP, so the calculator above prices AI on inbound at VIP. Outbound calling and text campaigns are VIP only, at 697 dollars a month on annual billing or 997 dollars monthly with 1,000 minutes, and our team plans and runs them for you. Those campaigns are not a like-for-like swap for a dedicated SDR team either. Crooked River Self Storage, on VIP, had 329 calls answered and 56 leads across two locations on one number. Compare the plans, or see how booking works for real estate agents.
Hear it book an appointment on the call
Call callflo.ai's own AI agent and ask it anything about your business. When you are ready, pick a plan: no setup fee, no contract, and you do not pay unless you are satisfied.
Starter is $39 a month on annual billing. Live on your line about 5 minutes after you sign up.
