An AI call center agent is software that answers or places phone calls by voice, finishes the routine ones and hands the rest to people. Published rates of 7 to 31 cents a minute can undercut a human, but only on calls it actually finishes. The calculator below finds your break-even.
AI vs human agent cost calculator
Enter your volume, wage and AI rate. You get the monthly cost of human only, AI only and a blend, plus the cost per call, the seats you need and the share of calls the AI must finish to pay for itself. The defaults are a worked example, so replace them with your own numbers.
Price your own call volume
Default wage: the BLS median of $21.53 an hour (May 2025) divided by the 70.0 percent wage share of private industry compensation (June 2026). Default AI rate: the top of Retell AI's published $0.07 to $0.31 a minute (November 2026). Volume, handle time, occupancy, resolution and handoff are assumptions to replace.
People come in whole. Paying for whole seats at 173 hours each, human only is $15,995 a month and the blend is $13,918. Neither covers nights, weekends or sick days.
| AI finishes | Blend per month | Against human only |
|---|---|---|
| 20% | $11,088 | $447 less |
| 40% | $9,711 | $1,824 less |
| 60% | $8,334 | $3,201 less |
| 80% | $6,957 | $4,578 less |
Runs entirely in your browser: nothing is stored or sent. Monthly figures count only wages and per-minute AI charges. Software, telephony contracts, management and setup are not in here.
Key takeaways
- On the default inputs, a blend costs $9,023 a month against $11,535 for human only.
- The AI pays for itself once it finishes about 13.5% of those calls. Below that, it just adds a toll to each handoff.
- AI only is a cost figure, not a plan. Every call the AI cannot finish still needs somewhere to go.
- callflo.ai is built for small business lines. Its own math does not beat a staffed contact center, as shown below.
| Scenario | Per month | Per call | Seats |
|---|---|---|---|
| Human only | $11,535 | $3.85 | 2.16 |
| AI only | $5,580 | $1.86 | 0 |
| Blend | $9,023 | $3.01 | 1.08 |
What an AI call center agent does
An AI call center agent holds a spoken conversation, understands what the caller wants, and takes an action in another system, such as booking, looking up an order or logging a ticket. When a request is out of bounds it transfers to a person. Understanding speech is the easy part now. Reaching your systems and knowing when to stop are the hard parts.
Phone automation, from menus to agents
Phone automation has been around for decades as press-1 menus. Those route a call and finish very little. Our comparison of an IVR and an AI phone agent goes through the differences and when to keep the menu. If you just want a line picked up with no staff involved, the guide to the automated answering service sorts out the options.
Is a voice based chatbot the same thing?
Mostly no. A voice based chatbot usually means a chat flow with speech bolted on, following scripted branches. An AI agent decides the next step from the conversation and can use tools. Vendors stretch both terms, so ask for a call you can place yourself and then interrupt it, change your mind and ask something off script.
AI agent vs AI assistant
An AI agent takes actions on its own within limits you set, while an AI assistant helps a person who stays in charge. In a call center, the agent talks to the caller and the assistant sits beside your human rep, suggesting answers and writing notes. Many contact centers buy both for different jobs.
| AI agent | AI assistant | |
|---|---|---|
| Who talks to the caller | The AI | Your rep |
| Who decides the next step | The AI, within your rules | Your rep |
| What it saves | The whole call, when it finishes | Seconds within each call, plus notes |
| Cost of a mistake | The caller hears it | Your rep can catch it first |
| Good first use | Simple calls and after hours | Note taking and finding answers |
Where an AI support agent earns its cost
An AI support agent earns its cost on calls that are frequent, follow a pattern and end in an action it can actually take. The table below is our judgment, not a study, so test it against your own call log. If a call needs a system the AI cannot reach, it can only take a message.
| Call type | Who should take it | Why |
|---|---|---|
| Hours, location, pricing, policy | AI | Frequent, the answer is written down, low risk |
| Booking and rescheduling | AI | Clear steps, ends in a calendar action |
| Order or account status | AI, if connected | Simple once it can read the system, and useless if not |
| After-hours message and triage | AI | The alternative is usually voicemail |
| Taking a payment | AI, with keypad entry | Works if the card goes on the keypad rather than aloud |
| Lead qualifying | AI, with fast handoff | Set questions, but a hot lead should reach a person quickly |
| Billing disputes and refunds | Human | Needs judgment and authority to make it right |
| Angry or repeat callers | Human | They have already been through the system once |
| Cancellations you want to save | Human | The conversation is the point |
| Emergencies, safety, medical, legal | Human | Transfer fast. A wrong answer is too costly |
| Vulnerable callers | Human | Patience and discretion come first |
Whatever you automate, leave a way out. In a 2026 Gartner survey of 3,566 customers, 87 percent said it is essential that companies using generative AI offer a way to reach a human agent. Tell callers it is an AI, too, and check your recording notice against our call recording consent lookup.
How the cost math works
Human cost per call is handle time, times the loaded wage per minute, divided by occupancy. AI cost per call is handle time times the AI rate. The blend pays the AI on every call, and pays a human on the calls it hands off. Each of those inputs moves the answer, and the two below catch people out most.
- Occupancy. It is the share of paid time spent on calls. At 80 percent, the 51-cent loaded minute becomes $0.64 of talk time, because you also pay for the wait between calls. An AI has no wait to pay for.
- Loaded wage. Our default takes the BLS median of 21.53 dollars an hour for customer service representatives (May 2025) and divides it by the 70.0 percent wage share of private industry compensation (June 2026). That gives $30.76.
The break-even is the AI's cost on a handoff, divided by the human cost of a call, plus that handoff cost, minus the AI cost of a finished call. In plain words, each failed call costs you a little extra AI time, and each finished one saves the gap between human and AI. The rate is the point where those balance.
Will AI replace call center agents?
Not on current evidence, though the job is shifting. In March 2025, Gartner predicted that AI agents will resolve 80 percent of common service issues by 2029. That is a forecast. It covers common issues, not all calls, so do not use it as your resolution rate.
The measured numbers are smaller. Gartner's April 2026 release reports that 85 percent of service leaders are expanding what human agents are responsible for. The BLS projects a 5 percent decline in customer service representative jobs from 2025 to 2035, from a base of about 2.67 million. That is slow shrinkage, not a cliff.
Where callflo.ai fits, and where it does not
Put our own rate in the calculator. Extra minutes on callflo.ai cost 98 cents, and a busy staffed minute in the example above costs $0.64. At that rate, the break-even reads None. On 3,000 calls of 6 minutes, our VIP plan would run $17,357 a month against $11,535 in wages.
So if you run a contact center with staff on seats all day, callflo.ai is the wrong product, and a per-minute platform or your contact center vendor will serve you better. We built it for small business lines, and it has no agent desktop, no workforce tools and no queue reporting for a floor of reps.
Small lines have the opposite math, because you cannot hire a tenth of a person. Say you get 100 calls a month at 4 minutes each. One seat at the default wage is $5,332 a month, covers 40 hours a week and sits idle most of them. The same 400 minutes on callflo.ai Starter come to about $313 on annual billing, and the line is answered at 3am. For that decision, our AI receptionist vs human receptionist comparison is the better read.
Running a small line? Call the agent yourself
Call callflo.ai's own AI agent and ask it anything about your business. When you are ready, pick a plan: no setup fee, no contract, and you do not pay unless you are satisfied.
Starter is $39 a month on annual billing. Live on your line about 5 minutes after you sign up.
