Marketing for apartments works when you measure it by signed leases, not clicks. Divide each channel's spend by the leases it produced, then compare that with what an empty day costs you. At the 2024 median rent, an empty day costs about 49 dollars. Enter your numbers below to see which channel to cut or fund.

Apartment cost per lease calculator

Pull the last 90 days from your listing dashboards, ad accounts and leasing software. The tool shows your cost per lease by channel, the cost of a vacant day, the leases you lose when leads go unanswered, and which channel the numbers say to cut or fund.

  • Listing sites (ILS): Costs $429 a lease, close to the $440 blended figure.
  • Paid search: Costs $450 a lease, close to the $440 blended figure.
  • Social ads: Costs $1,500 a lease against $440 blended, and few of its leads tour. Test the reply first, then cut if it does not move.
  • Resident referrals: Costs $100 a lease against $440 blended. Add budget in steps and watch whether the cost holds.

Fund means 25% or more under your blended cost per lease. Cut or fix means 50% or more over it. A lost lease assumes unanswered leads would have converted like answered ones, so read it as an upper estimate.

Runs in your browser. Nothing is stored or sent. Rent defaults to the 2024 US median gross rent from the Census Bureau. Turnover of 44% is the share who did not renew, implied by RealPage data reported for the first half of 2026. Units, vacant days, the unanswered share and all channel numbers are editable examples, not benchmarks.

Key takeaways

  • Cost per lease is spend divided by signed leases. In the example, 6,600 dollars and 15 leases make 440 dollars a lease.
  • A vacant day at 1,487 dollars of rent costs about 49 dollars. So a 440 dollar lease pays for itself if it saves 9 vacant days.
  • In the example, 120 units with 44 percent turnover and 30 vacant days per turn lose about 77,400 dollars of rent a year.
  • At 20 percent of leads unanswered, the example loses up to 3.75 leases in 90 days. Answering them would take cost per lease from 440 to 352 dollars.

What is apartment marketing?

Apartment marketing is everything that gets a qualified renter from a search to a signed lease: listing sites, your own website, ads, social media, referrals and the reply when they call. It is different from property management marketing, which also has to win owner clients. Here the customer is the renter and the scoreboard is occupancy.

You need a number to aim at. RealPage data reported in July 2026 showed 56 percent of market-rate residents with leases expiring in the first half of 2026 renewed. That leaves roughly 44 percent to replace. The Census Bureau put national rental vacancy at 7.6 percent in the third quarter of 2026. On 120 units, the calculator turns that turnover into about 13 leases every 90 days.

How do you calculate cost per lease?

Divide what you spent on a channel by the leases it produced in the same period. Use signed leases, not applications. Include subscriptions, ad spend, agency fees and referral bonuses. A channel with 3,000 dollars of spend and 7 leases costs about 429 dollars a lease, whatever its dashboard says about impressions.

Then price the empty day: monthly rent times 12, divided by 365. Dividing cost per lease by that figure tells you how many vacant days a lease must save to pay for itself. That is the number to bring to a budget meeting, since it puts marketing and vacancy in the same unit.

The calculator's labels follow simple rules. Fund means 25 percent or more under your blended cost per lease. Cut or fix means 50 percent or more over it. Small samples get a Too early label, because one lease can swing a small channel by hundreds of dollars. If few of a channel's leads tour, it tells you to test the reply before you blame the channel.

Apartment digital marketing: where the money goes

Apartment digital marketing usually comes down to four lines: listing sites, paid search, social ads and your own website. Fund them by cost per lease. Attribution will never be perfect, because a renter can see a listing, search your name and then call. So ask every caller how they found you, and compare that with your tracking.

Search engine marketing for apartments

Search engine marketing for apartments means paying to appear when someone types a city, a neighborhood or your building's name. Google's ad policy treats housing as a sensitive category. In the US, you cannot target housing ads by ZIP code, age, gender, marital status or parental status. City and radius targeting are allowed. So your keywords and your location list carry the work, and the old habit of ZIP code lists is gone.

Apartment social media

Apartment social media does two jobs: ads that reach renters, and posts that show a nervous applicant the building is real and looked after. Meta requires US housing ads to run under a special category. Its developer documentation says audiences include ages 18 through 65 and up, and all genders. Location must include at least a 15 mile radius, ZIP codes are unsupported, and lookalike audiences are not available. Expect lower lead intent than search, and judge social on tours.

Luxury apartment marketing

Luxury apartment marketing uses the same math with a higher vacant-day cost. At 4,000 dollars of rent, an empty day costs about 132 dollars, so you can afford a higher cost per lease. Spend it on what a renter at that price checks: photos, video, a fast reply and a tour that runs on time. Fair housing limits do not change with the rent.

Property management ads: two rules that change your copy

Property management ads have to pass two federal tests. The Fair Housing Act bars ads that show a preference based on a protected trait. The FTC has also gone after rents advertised without mandatory fees. Check both before you approve copy. These were read in November 2026. Confirm your own ads with a local attorney, since state rules add more.

  • Fair housing. 42 U.S.C. 3604(c) covers any notice or ad for renting a dwelling that shows a preference or limitation based on race, color, religion, sex, handicap, familial status or national origin. Describe the unit, not the ideal resident.
  • Total price. In December 2025 Greystar agreed to pay 24 million dollars to settle FTC and Colorado claims that it advertised low rents and added mandatory fees late. The FTC's advice to managers is to advertise the total cost up front and audit your sites and vendors.

Three apartment marketing trends change what you do this quarter: all-in pricing, tighter ad targeting and renters who expect a quick reply. None needs new software to start. Each needs someone to check what your listings and ads say today, then check how fast your office actually responds.

  • All-in rent on every listing. The FTC warned 13 property management software providers in December 2025, including about code that controls what reaches listing sites. Look at your feed, not only your website.
  • Less targeting, more local intent. With demographic and ZIP code targeting closed off, your location pages and Google profile do more of the work.
  • Reply speed. In AppFolio's 2024 survey of 2,105 renters, 76 percent expected a reply to a listing within 24 hours, and 27 percent expected one within a few hours. AppFolio sells property management software, so read that as direction.

Apartment lead generation: the leak after 5pm

Apartment lead generation stops paying when nobody answers. Your ads run at night and on Sunday, and your office does not. We could not find an independent figure for how many leasing calls go unanswered, only vendor numbers that disagree. So the tool asks for yours: count missed calls in your phone system for two weeks.

It is 8:40 on a Tuesday night. A nurse leaving a shift taps call on your paid search ad for a two bedroom. That click cost you money. In CallRail's 2025 survey of 1,000 consumers, 42 percent said they leave a message when a business does not pick up, and 21 percent said they contact a rival right away. She has three other tabs open.

Thanks for calling Birch Court. We have a two bedroom listed for December 15. Rent is 1,650 a month, plus a 45 dollar monthly trash and pest fee. Does that fit your budget?
Caller
It does. Can I see it this weekend?

Thanks, Dana. I will text you the listing link now, and the team will have your request for Saturday first thing.
Sample call written for this post. The building, unit and prices are invented. The agent answers from the details you give it. On VIP it can also book the tour on your calendar during the call.

That is what callflo.ai does, and the only part of this plan it does. It answers your leasing line 24/7, answers questions from what you give it, captures the lead and texts the caller. You get the summary and transcript. Starter is 39 dollars a month on annual billing, or 49 dollars month to month, with 120 minutes and extra minutes at 0.98 dollars. Calendar booking and live transfer are on VIP.

It will not fix a weak listing, a high rent or a bad tour. If your leasing office already covers nights and weekends, or the calculator shows few unanswered leads, you do not need it. For the alternatives, see the after-hours answering comparison. The page for property managers shows how it works on a leasing line, and the pricing page has both plans.

How to choose apartment marketing companies

Choose apartment marketing companies by whether they will report cost per lease, by channel, from your own data. A multifamily marketing company that reports only clicks and impressions is grading its own homework. Before you sign, ask for the reporting sample, the contract term, and who owns the ad accounts and the website.

  • Tracking. Will calls and forms tie back to a channel and a lease, or stop at the lead?
  • Accounts. Do the ad accounts and the listing logins stay yours if you leave?
  • Compliance. Who checks ads against the fair housing and total price rules above?
  • Reply. Does their plan cover what happens at 8:40pm, or does the job end at the click?

FAQ

The best marketing is the channel with the lowest cost per signed lease at the volume you need, and that differs by building. Compare listing sites, paid search, social ads and referrals using your own spend and leases. We found no independent benchmark we could trace, so your own numbers are the fair test.

Divide what you spent on a channel by the signed leases it produced in the same period. Spend of 3,000 dollars and 7 leases is about 429 dollars a lease. Count subscriptions, ad spend, agency fees and referral bonuses.

Multiply monthly rent by 12 and divide by 365. At 1,487 dollars, the 2024 US median gross rent from the Census Bureau, that is about 49 dollars a day. Across 52.8 turns a year at 30 vacant days each, it is about 77,400 dollars.

Not on Google or Meta housing ads in the US, as read in November 2026. Google does not allow ZIP code, age, gender, marital status or parental status targeting for housing. Meta does not support ZIP codes and requires at least a 15 mile radius, all genders and ages 18 through 65 and up.

The FTC says advertising a rent that excludes mandatory charges violates the law, and it urges managers to advertise the total cost up front. In December 2025, Greystar agreed to pay 24 million dollars to settle related claims from the FTC and Colorado. State rules can add more, so confirm with a local attorney.

It typically runs some mix of paid search, social ads, listing management, websites and reporting for apartment owners. Ask whether it reports cost per lease by channel and whether you keep the ad accounts if you leave. Clicks and impressions alone do not show whether units filled.
